The LGBT History Project – Teams and Tasks

STEERING COMMITTEE

Chair: Barry Loveland, history@centralpalgbtcenter.org

Tasks

  • Set overall direction, policies, and procedures for Project
  • Coordinate work of teams, assign tasks to teams and receive reports from teams
  • Provide training of volunteers
  • Maintain overall mailing list in conjunction with LGBT Center
  • Organize, schedule and run volunteer meetings/gatherings
  • Provide liaison to CPLAN and LGBT Center

INTERVIEWERS TEAM

Tasks:

  • Receive names of interviewees
  • Assign interviewees to interviewers and help coordinate scheduling/forming teams
  • Coordinate scheduling of equipment with Louie and Joyce at the Center who will sign out the equipment to the interviewers
  • Follow up as needed with interviewers on progress
  • Coordinate follow up/refresher training and new training with Lonna and/or Amy
  • Maintain waiting list for training for prospective volunteers and notify when a training session will be available
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)

 

TRANSCRIBERS TEAM

Tasks:

  • Receive tapes of interviews
  • Copy tapes to DVDs
  • Assign/send copy on DVD to transcriber team member
  • Receive DVD and transcription back and deposit at LGBT Center
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)

ARCHIVISTS/CURATORS TEAM

Tasks:

  • Catalog tapes, DVDs and transcripts at LGBT Center
  • Propose collecting policy/guidelines, loan and gift agreement forms for adoption by steering committee
  • Receive proposed donations/loans of artifacts, documents and photos and review against collecting policy/guidelines; make recommendation to steering committee to accept/decline
  • Catalog artifacts, documents, photos
  • Photograph artifacts and digitize documents and photos
  • Make research assignments to team members, do research and prepare report
  • Receive research reports
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)

 

EXHIBITS/WEB TEAM

Tasks:

  • Review content materials in collection (interviews, artifacts, documents, photos, and research reports)
  • Prepare conceptual plan for web based virtual exhibit/archive
  • Develop outline for script/narrative context
  • Develop timeline of key milestones in region’s LGBT history
  • Develop full script/narrative context
  • Select interview clips, digital documents and digital photos of artifacts and historical photos to illustrate virtual exhibit
  • Prepare graphics and design of web pages
  • Insert content in web pages
  • Develop links and upload additional resources (full interviews, etc.)
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)

 

OUTREACH TEAM

Tasks:

  • Develop list of organizations and media to reach out to and publicize Project
  • Develop Power Point presentation to take to organization meetings for presentations
  • Contact organizations and arrange for presentations; assign team members to make presentations
  • Prepare press releases for general and specialized media
  • Arrange interviews with media and arrange for Project spokesperson and interviewees to attend
  • Prepare monthly e-newsletter to Project volunteers and others on mailing list
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)

 

FUNDRAISING TEAM

Tasks:

  • Determine funding needs for Project, seeking input from all other Project teams
  • Search for potential sources of grants
  • Prepare proposals to foundations and granting agencies
  • Develop proposal to LGBT Center for fundraising appeal to mailing list
  • Develop ideas for other fundraising events/activities and present to steering committee; if approved, organize and coordinate event/activity
  • Report to Steering Committee on activities (either by attending meetings or sending a brief written report in advance of meetings)
